Job Summary

The successful candidate will provide a variety of office support or secretarial functions that require an in-depth knowledge of assigned program areas and perform related work.
Typical Job Functions

• Perform Admission duties, apply procedures and practices and keep all records in compliance with FERPA
• Entering applications, test scores, and transcripts into CRM
• Understand, and relay college policies and procedures to others using proper judgment in how the policies and procedures apply to individual situations
• Champions a helpful and friendly student centered atmosphere for prospective/current students, faculty, and staff
• Maintain digital files, student related records, and converts archived files to digital files
• Collaborate with Registrar to determine students residency status
• Correspond with potential/current students regarding transcripts and other admissions records
• Proficient with the use of software used by CEI such as Recruit, Colleague, and Softdocs Etrive
• Schedule and organize campus and program tours for large and small groups
• Provide tours of programs and the campus to potential students
• Travel to and present at events across the region
• Schedule admissions counselors visits for local schools or events
• Provide information to potential students regarding CEI programs, their admissions status, records, transcripts, and CEI forms and policies
• Responsible for answering front line admission questions in person or electronically
• Sit in on classes to provide first hand experiences
• Work alongside the Student Affairs front desk to assist with workload during high volume times, or when under staffed
• Refer students who disclose a need to appropriate services on and off campus
• Train new staff, and work-study students
• Provide and maintain open communication between fellow staff and supervisor
• Continuously evaluate the admissions and record retention process, for more efficient and cost effective options
• Collaborate with other departments to ensure a positive student experience
• Work independently with little supervision
• Contribute to strategic planning for admissions and student affairs
• Oversee work study students
• Schedule prospective students appointments for counselors
• Assist during events such as the graduation ceremony, Open house, multicultural night, etc.
• Perform miscellaneous job-related duties as assigned

Minimum Qualifications

• Associate degree.
• One year of customer service experience.
• Experience retrieving and reviewing documents for compliance with established procedures.
• Ability to effectively use computer applications such as spreadsheet, word processing, calendar, e-mail and database software.
• Good knowledge of clerical procedures involved in record keeping and maintaining accurate filing systems.
• Good knowledge of office procedures.
• Ability to enter, extract and compile data accurately.
• Ability to carry out oral and written directions.
• Ability to work in a team environment.
• Understanding of and ability to practice effective customer service skills.
• Ability to read, write, and communicate effectively in English.
• Ability to conduct campus tours of up to a mile and a half.
• Incumbent must reside in the State of Idaho (CEI doesn't currently sponsor H-1B visas)

• Experience in higher education
• Bilingual (Spanish)

Physical Demands and Work Environment
Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
Onsite work is essential and regular predictable attendance is required. Employees may be required to work at occasional events and handle tasks outside of regular working hours.
