Job Summary
The Office Specialist II for Admissions and Records, also known as the Front Desk Clerk, will perform a wide range of office support functions using independent judgment in applying existing policies and procedures to complete assignments; this involves knowledge of multiple procedures and program guidelines to make decisions over a variety of tasks. The specialist responds to non-routine inquiries and explains department services, policies, procedures, and rationale for decisions to customers.
The specialist utilizes a variety of computer operations to perform office support duties such as, but not limited to, composing correspondence; creating, reviewing, and processing documents and records; identifying and correcting errors and omissions on documents received from staff, departments, and/or public; and maintaining accurate records.
This position, on occasion, may be required to work outside of the regular work schedule to accommodate campus event needs.

Typical Job Functions - Performs a wide range of office support functions using independent judgment in applying existing policies and procedures to complete assignments
- Deliver outstanding customer service to students, faculty, staff, and visitors, creating a friendly and welcoming atmosphere at the front desk.
- Execute admission responsibilities, following established procedures and practices, and maintain records in accordance with FERPA compliance.
- Manage digital files of student records and facilitate the conversion of archived documents into digital formats
- Make updates in Etrieve database as needed for archived records
- Inputs test scores and transcripts into CRM
- Submit information to students, faculty and staff as directed
- Assist with campus events
- Oversee the delivery of both outgoing and incoming mail.
- Serve as point of contact for maintaining postage machine and copier supplies
- Generate identification cards for students
- Provide supervision and guidance to work-study students
- Schedule appointments, services, meetings, and tours
- Assist prospective and current students through telephone, email, and in-person
- Performs other job-related duties as assigned
Minimum Qualifications - Proficient knowledge of the rules of effective business English usage including spelling, punctuation, and grammar
- Experience using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving; reviewing documents for compliance with established procedures
- Ability to answer a business telephone using knowledge of business telephone procedures and etiquette
- Incumbent must reside in Idaho (Currently CEI doesn't sponsor H-1B Visas)
Additional Desired Qualifications - Experience working in a community college setting, serving a diverse, non-traditional student population
- Experience working with Colleague by Ellucian ERP and/or other major ERP systems
- Bilingual (Spanish)
Physical Demands and Work EnvironmentEmployees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
On-site work is essential and regular predictable attendance is required. Employees may be required to work at occasional events and handle tasks outside of regular working hours.
