About the Role MIRACORP, Inc. is seeking a detail-oriented Administrative Assistant to provide essential administrative and office support to the U.S. Department of Energy's Idaho Operations Office (DOE-ID) and Nuclear Energy (DOE-NE) organizations. This role plays a key part in supporting daily operations by managing communications, coordinating schedules and meetings, preparing documents, and maintaining departmental files and records.

Location: U.S. Department of Energy, Idaho Falls, ID

Essential Functions

Administrative Support

  • Manage incoming calls by screening, routing, and responding to inquiries
  • Greet visitors and provide routine assistance or direction
  • Draft simple correspondence, emails, and internal communications
  • Prepare meeting materials, agendas, sign-in sheets, and basic presentations
  • Assist with scanning, copying, printing, and distributing documents

Scheduling & Coordination

  • Schedule appointments and maintain calendars for assigned staff
  • Coordinate meetings, reserve conference rooms, and support logistics
  • Track deadlines, reminders, and routine administrative tasks

Office Operations

  • Maintain departmental files, records, and shared drives in accordance with DOE procedures
  • Monitor office supplies and support basic equipment use (printers, scanners, copiers)
  • Support general office workflow to ensure smooth daily operations
  • Serve as backup support for the front office or correspondence control center

Recordkeeping & Documentation

  • Organize, update, and maintain electronic and physical filing systems
  • Ensure accuracy and completeness of administrative documents
  • Assist with data entry, basic tracking logs, and document control
Qualifications

Required Qualifications

  • High School Diploma or GED
  • Minimum 1 year of administrative or office support experience
  • Strong organizational and time management skills
  • Excellent verbal and written communication
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with general office equipment (printers, scanners, copiers)
  • Attention to detail and commitment to accuracy
  • Ability to work professionally with staff, visitors, and external partners

Preferred Qualifications

  • Experience supporting federal or government offices
  • Familiarity with DOE administrative processes
  • Experience with shared drives or basic database entry
