Description

TeleSolv Consulting is seeking a Professional Administrative & Management Support Specialist to support critical mission operations within the federal government. Must reside in Idaho Falls, Idaho, The position is onsite.

This role provides comprehensive administrative, programmatic, contractual, and executive-level support across multiple functional areas, including Human Resources, the Office of Chief Counsel, Contract Management, Program and Project Support, Agreements Management, and Executive Leadership. Working under task assignments issued by the Contracting Officer (CO) or Contracting Officer's Representative (COR), you will play a key role in ensuring operational excellence and supporting the successful execution of the government agency's national energy and nuclear security missions.

Responsibilities:

  • Coordinate full onboarding cycle: accession reports, welcome emails, supervisor instructions, benefits briefings, and system access.
  • Conduct employee separation processing and exit briefings.
  • Counsel employees on federal benefits (FEHB, FEGLI, TSP, FERS, FSA).
  • Serve as Telework/Remote Work Coordinator, ensuring compliance, reporting, and records management.
  • Administer government agency's ID Wellness Program.
  • Manage HR tickler systems: WIGIs, career ladder promotions, details, probationary periods, LWOP, etc.
  • Administer Thank You Award Program and Time-in-Service recognition.
  • Act as local Drug Testing Program Manager, including random testing coordination and reporting.
  • Process professional credential reimbursements.
  • Maintain position description library and HR division intranet page.
  • Prepare HR data reports using CHRIS, Government agency's INFO, and internal systems.
  • Assist with document review, administrative hearing preparation, and processing of classified/unclassified personnel security information.
  • Track, analyze, and prepare reports and correspondence on behalf of legal management.
  • Manage files, spreadsheets, and documents per established procedures.
  • Maintain and distribute contract modifications and contracting documentation.
  • Provide administrative support to Contracting Officers and specialists.
  • Prepare correspondence, route documents, and manage contract-related reports.
  • Support financial assistance awards and cooperative agreements.
  • Provide IDMS support and closeout activities for awards.
  • Screen calls, manage schedules, and maintain files and records.
  • Support project and program management, including budget tracking, schedule monitoring, and government agency compliance.
  • Reconcile financial data between STARS, PICS:NE, and government agency HQ systems.
  • Assist government agency managers in financial processes and issue resolution.
  • Prepare analytical management reports and decision-support documents.
  • Track project costs, schedules, and deliverables across govern agency ID and government agency NE programs.
  • Engage with government agency financial personnel and assist with university funding processes.
  • Provide reporting, file maintenance, and database management.
  • Assist in processing and routing agreements through AMPS and internal government agency workflows.
  • Maintain departmental records in compliance with government agency directives.
  • Support funding acceptance, closeout, and periodic contractor policy reviews.
  • Prepare program-level reports and manage inquiries and communications.
  • Provide executive-level administrative support to the Deputy Assistant Secretary and senior leadership.
  • Manage complex calendars, logistics, briefings, mail distributions, and visitor processing.
  • Coordinate hybrid meetings, prepare agendas, and track action items.
  • Provide document review and routing support for GC-72.
  • Develop presentations, manage training records, and support NE-8 administrative workflows.
  • Create talking points, white papers, presentations, spreadsheets, and communication materials.
  • Support external communications, stakeholder engagement, and internal messaging.
  • Provide general administrative activities including document preparation, reception duties, file management, and meeting logistics.

Qualifications:
  • Education:
    • High school diploma with related administrative experience; Bachelor's degree preferred for subject matter expert functions.
  • Skills:
    • Excellent written and verbal communication.
    • Strong organizational and time-management skills.
    • Proficiency in Microsoft Office Suite; proficient in Microsoft Office Suite (Word, Excel, Project).
    • Ability to handle sensitive information with confidentiality.
    • Ability to work in fast-paced, multi-tasking environments.
  • Preferred Experience:
    • Prior experience supporting the government agency or federal government programs.
    • Familiarity with government agency systems such as CHRIS, government agency's INFO, IDMS, AMPS, STARS, PICS:NE, Concur, and Citi Manager.
  • Must be a US Citizen
  • Must be able to obtain appropriate security clearance (including Q-level if required).
  • Must comply with government agency Worker Safety & Health Program requirements.
  • Occasional travel may be required.
  • Must support multiple ongoing task assignments and respond quickly to ad hoc needs.
