We are seeking a highly organized and detail-oriented administrative Medical Assistant to support our mental health providers (DO, NP, PA, and Residents). Unlike traditional clinical roles, this position is primarily focused on behind-the-scenes clinical operations. The ideal candidate will thrive in a desk-based environment, acting as the critical link between patients, pharmacies, and insurance providers. While you remain a vital part of the care team, your day-to-day will emphasize medication management and administrative coordination rather than one-on-one, in-room patient care. Primary Focus Areas Refill Management: Processing high volumes of medication refill requests with accuracy and speed. Prior Authorizations: Navigating insurance requirements to ensure patients maintain access to their prescribed treatments. Patient Inquiries: Managing the patient portal and phone lines to resolve questions regarding prescriptions and treatment plans. Provider Support: Organizing and preparing digital charts to ensure providers are equipped for their daily schedules. Skills and Abilities Administrative Clinical Skills: Expert-level proficiency in managing Prior Authorizations and coordinating with pharmacies. Technical Proficiency: Advanced skills in EHR systems (specifically Valant.io) and Google Workspace. Communication: Exceptional written and verbal communication. You must be able to convey complex medication instructions and insurance updates clearly and professionally. Organization: Mastery of multitasking in a fast-paced, digital environment with a high degree of attention to detail. Problem-Solving: The ability to independently troubleshoot insurance denials and pharmacy discrepancies. Professionalism & Confidentiality: Strict adherence to HIPAA regulations and ethical standards in a sensitive mental health setting. Minimal Direct Care: While the role may require occasional backup for basic clinical duties (vitals/injections), the core of this position is office-based. Education and Experience Education: High school diploma or equivalent required; graduation from an accredited Medical Assistant program preferred. Experience: 3 or more years of experience as a Medical Assistant. Previous experience in psychiatry, mental health, or a dedicated "Refill Coordinator" role is highly preferred.
